Refunds & Cancellations

• Voice agents — 30-day refund guarantee from go-live.
• Websites — 50% deposit refundable until kickoff; no refund once the build starts.
• Store — digital products are non-refundable except for technical defect. The Pass cancels anytime; cancellation stops the next renewal.
• Consulting — Retainer pro-rated to month-end; Sprint deposit non-refundable after scope-lock.

1. AI Voice Agents

30-day refund guarantee

If your voice agent goes live and you decide within 30 days that it isn't a fit, email us and we will refund the first month's fee in full. After day 30, regular cancellation rules apply.

Cancellation

Voice agent subscriptions auto-renew monthly. You can cancel anytime by emailing hello@deskwolf.ai. Cancellation:

• Stops the next charge.
• Keeps the agent live through the end of the current paid period.
• At end-of-period we deprovision the agent, archive your call recordings per the Privacy Policy retention schedule, and release any reserved phone numbers.

If you cancel mid-month, we don't pro-rate the current month — you get the rest of it.

Setup or deposit fees

Any one-time setup deposit covered by the 30-day guarantee is refundable along with the first month's subscription. Custom integration work billed outside the standard tier is refundable only if work has not yet started.

2. AI Websites

Deposit (before kickoff)

Website builds are paid 50% upfront / 50% on launch. The 50% deposit is fully refundable until the kickoff call. If you change your mind before we begin discovery, we refund the deposit minus payment-processor fees (Stripe charges roughly 2.9% + 30¢ that we cannot recover).

After kickoff

Once the kickoff call happens and the build starts, the deposit is non-refundable — design and dev time has been committed. If you walk away mid-build, you owe the deposit but no further amount.

Final 50%

The remaining 50% is invoiced on launch. If the site has been built per the agreed scope, this balance is due even if you choose not to publish.

Maintenance subscription

Optional 50% monthly maintenance auto-renews. Cancel anytime; cancellation stops the next charge and ends maintenance at the end of the current period. We hand off the latest code export so you can host it yourself or move to another provider.

3. The Store

Digital products (one-time purchases)

Templates, playbooks, dashboards, and other one-time downloads are non-refundable because they are delivered immediately and cannot be returned. Two exceptions:

• Technical defect — the file is corrupt, fundamentally broken, or materially misrepresented on the product page. Email us within 14 days; we will fix it or refund.
• Duplicate purchase — accidentally bought the same item twice. Email us and we'll refund the duplicate.

The Pass (subscription)

Pass billing auto-renews monthly or annually depending on the plan you chose. Cancel anytime in your account or by email. Cancellation:

• Stops the next charge.
• Keeps your access through the end of the current paid period.
• Does not refund the current period (no pro-rating).
• Lets you keep any assets you downloaded during your subscription — the license attached to each download remains valid.

4. Consulting

Strategy Retainer ($2,500/mo)

Month-to-month commitment, auto-renews. Cancel anytime by email; cancellation:

• Stops the next charge.
• You keep the rest of the current month — sessions, deliverables, async access.
• Unused hours do not roll over.
• We pro-rate to month-end if you cancel mid-month for a clear reason we agree was on us (e.g., a scheduling failure on our side). Otherwise no pro-rating.

Virtual Install Sprint ($9,970)

Paid as a deposit (typically 50%) at signing and the balance on scope-lock. After scope-lock, the deposit is non-refundable because the team and timeline have been committed. Before scope-lock, the deposit is refundable minus payment-processor fees and any discovery work already performed (billed at our hourly rate).

In-Person Install Sprint ($14,970)

Same structure as the Virtual Sprint, with one addition: if travel has been booked when you cancel post scope-lock, non-recoverable travel costs (flights, lodging deposits) are billed on top of the deposit.

Retainer attach to a Sprint

If you attached a Strategy Retainer to your Sprint at a discount, the retainer follows the standard Retainer cancellation rules — independent of the Sprint.

5. How to request a refund or cancel

Email hello@deskwolf.ai with:

• The email address on your account.
• The product or subscription you want to refund or cancel.
• The reason — brief is fine, we use it to improve.

We respond within 2 business days and process approved refunds within 5 business days via your original payment method (Stripe typically clears within 5–10 business days from there).

6. Chargebacks

If a charge looks wrong, please email us first. We will almost always resolve it faster than your bank can. Filing a chargeback before reaching out may pause your service while the dispute is open.

7. Exceptions

Refund terms in a signed Service Agreement, Order Form, or written addendum override the defaults on this page. Free items, gifts, and promotional credits are non-refundable.
